Business Records Management offers a cost-efficient destruction rotation service, providing secure collection and destruction of confidential business information.  On a regular schedule or on-call basis, we can pick up full containers and replace them with empty ones.

High-Level Security

Our security and confidentiality includes lockable containers, secure vehicles and bonded employees. All paper, cardboard, plastic and other media are shredded separately and recycled.

Business Records Management’s destruction bins and consoles are equipped with lids and locks, and only BRM has a key.  These security measures prevent unauthorized access to the confidential information contained within.

The location and contents of each container is tracked from pickup through final destruction using the latest barcode technology.  This increases security and provides confirmation of the destruction process.

Regulatory Compliance

Business Records Management’s use of barcode tracking technology helps clients comply with federal, state, and local laws that mandate businesses to ensure the proper disposal of sensitive discarded information.  These regulations have been established to protect the privacy of employees, businesses, and consumers.

Fair and Accurate Credit Transactions Act (FACTA)

  • Designed to reduce the risk of consumer identity theft
  • Requires businesses to properly dispose of consumer information

Gramm-Leach-Bliley Act (GLBA)

  • Requires financial institutions to ensure security and confidentiality of customers' private, personal information
  • Includes protection of names, addresses, account numbers, incomes, balances, etc.

Health Insurance Portability and Accountability Act (HIPAA)

  • Protects the use and release of medical patient information
  • Requires protected health information to be kept secure for at least six years
  • All covered entities (hospitals, doctor’s offices, HMOs, or other healthcare providers) require vendors who do work for them to sign a HIPAA compliance agreement making them a Business Associate.  Once the vendor signs this agreement, they will be liable in the event of any disclosure of confidential information caused by their actions or inactions. If disclosure occurs, failure to provide adequate safeguards may result in criminal and civil penalties.

Sarbanes-Oxley Act (SOX)

  • Mandates the development and implementation of a records management system
  • Requires companies to track and provide an audit trail of all critical information

In the event of the disclosure of confidential information, failure to provide adequate safeguards may result in criminal and civil penalties.  All paper material shredded by BRM is also recycled in order to preserve our environment.

Barcode Tracking

Business Records Management tracks each container upon pickup and delivery via a unique barcode attached to the exterior of the unit.  Each barcode is scanned when it is picked up, and all delivered containers are scanned to their floor delivery location.

Scanning the barcodes will generate two automated printer receipts, listing the barcode of each container.  One receipt remains with the customer, along with the BRM work order.  The barcode is scanned a second time upon the unit's arrival at BRM's facility.

All inventory and activity information is uploaded into our database and can be tracked by the customer through BRM-Online.  BRM tracks each container processed for destruction by its unique barcode and provide a Certificate of Destruction to the customer.

Deliveries and Pickups

Business Records Management can develop a weekly, monthly, quarterly or customized rotation schedule based on your needs.  Rotation schedules may fluctuate depending on your requirements.

Emergency Services

In the event that extra destruction bins or consoles are needed, Business Records Management can deliver them during normal business hours.  In an emergency, they can be delivered within minutes.

In the event a document is accidentally dropped into a bin or console, BRM is on call 24 hours, every day, to unlock the container and retrieve the misplaced document.
