Healthcare information management is a heavy burden. Compliance with the Health Information Portability and Accountability Act (HIPAA), budget concerns, space availability, staffing considerations, quality of information, access needs and other issues all combine for a possible records management nightmare.
Business Records Management offers offsite healthcare records storage with enhanced security and eased HIPAA compliance. We store and manage patient records, x-rays, electronic medical records, backup tapes and other vital data so your organization can focus on healthcare.
Patient Records
Can an overstuffed file room be better used as profitable space? Should medical records be scanned? What happens if a server goes down?
Business Records Management provides secure storage for patient files that need to remain in hard copy form. We can free up valuable space for revenue-generating services. When compared to the cost of climate control, staffing, benefits, lost potential revenue and training, BRM can save your organization money and headaches.
Every item is barcoded and tracked in our system. Clients can request retrieval by box, file folder, or individual document. BRM offers same day retrieval and delivery. Information can be faxed, scanned for email, or physically transported.
X-Rays, Microfilm and Microfiche Business Records Management offers climate controlled storage for x-rays, regardless of size or film media.
Ideal x-ray storage conditions are rare and expensive. Unfortunately, the effects of redox, mold and vinegar syndrome are common. BRM's climate controlled vaults are designed to store acetate, polyester, silver and diazo-based film. We also offer Scan on Demand, a scanning and transmission service.
Backup Tape Storage
Electronic records like digital x-rays and sonogram recordings increase the need for secure medical data storage. Data tapes are sometimes stored in basements, desk drawers and even under sinks. A clinic fire, spike in temperature and humidity or a dropped tape may be all it takes to render data unrecoverable. Recent cases of identity theft underline the importance of proper data storage.
BRM offers economical tape vaulting services for clinics, hospitals and labs. Our bonded courier driver will pick up your tapes, enter them into our system, place them in one of our climate controlled media vaults, and rotate them according to your schedule.
For long term archiving of medical records, our media vaults are the perfect home. Their features include fire suppression, temperature and humidity monitoring, fire rated walls and doors, location outside of flood plains.
Medical Records Purges
Purging is the removal of pages from a medical record, or the removal of entire records, that are no longer actively needed by staff in providing care to residents.
Business Records Management's specially screened and trained professionals are experienced in the purging and relocation of medical records, patient charts and x-rays. BRM also has tools that have been specifically designed to assist you when you are ready to purge your active file and send inactive records to storage. Destruction of medical records is handled securely and professionally.
Third-Party Releases
According to HIPAA, a patient may request their own medical records in the event that a physician practice closes.
Business Records Management stores patient information as a third party and releases it upon request. BRM is the records repository for thousands of medical records and films. Medical records can be indexed and stored for a designated period of time. Patients in need of their individual medical records can request them by completing and signing a Release of Information form.
Under Pennsylvania Act 26, a flat fee will be charged for search and retrieval, plus the actual cost of postage, shipping and delivery of any requested records. Neither PA Act 26 nor HIPAA mandates that charges be assessed for medical records. They merely set the maximum fees that can be charged.
